Schedule: 8am-5pm PST, Mon-Fri, Flexibility for event coordination as needed
Salary: $45,000-$55,000/year

OVERVIEW
Verdani Partners is seeking an Operations Coordinator to provide support to our team by completing in-office tasks, scheduling meetings, booking travel, event coordination, and more. This role is essential in ensuring that our internal processes run smoothly, fostering collaboration across teams, and contributing to the company’s long-term success.
This position requires a highly organized and adaptable professional who can balance planning with hands-on problem-solving.
Reporting directly to the Senior Operations Manager, this role offers an opportunity to make a meaningful impact on a growing, mission-driven organization.

RESPONSIBILITIES
In-office administrative tasks including ordering office supplies, stocking snacks, greeting visitors, answering and directing phone calls, handling mail and packages, inventory management, decorating, running errands, managing storage unit, etc.
Managing office procedures including vendor coordination for cleaning and maintenance, managing security, lost and found, desk and conference room booking software, and maintaining HOA communications.
Organize and schedule meetings for team members
Manages main company inbox including business development, vendor, partner and employee inquiries
Coordinate travel logistics for team members including booking flights, transportation, hotels, various reservations, and budget support
Plan and execute internal employee engagement events such as annual retreats, happy hours, virtual games, parties, etc.
Support in planning external events (community, networking, space rentals) and manage Peerspace listings
Promote Verdani’s company culture across the organization
Assist with administrative tasks related to our non-profit organization, VIBE, including scheduling, event coordination, etc.
Collaborate with the operations team on various projects and initiatives (support HR with onboardings and offboardings, budget support, etc.)
Respond to employee questions related to access needs, purchase approvals and provide basic IT troubleshooting for in-person and remote employees
Support with tasks related to company’s various green building certifications including tracking waste management and energy
Provide backup support for CEO’s personal assistant when needed
PROFESSIONAL EXPERIENCE & QUALIFICATIONS

Required:
Driver’s license
Strong organizational and time management skills
Effective written and verbal communication
Ability to manage projects and prioritize tasks

Experience with completing administrative tasks and office management

WORKING CONDITIONS AND PHYSICAL DEMANDS
During the execution of job responsibilities, the employee should expect the following conditions and demands associated with the role:
Remaining in a stationary position for prolonged periods of time at a desk and working on a computer
Repetitive motions involving the wrists, hands, and/or fingers
Occasional light to moderate lifting, bending, stooping, kneeling, or crouching may be necessary
Close vision requirements due to computer work
Adequate hearing for effective communication in-person and/or on the telephone
Ability to move objects weighing up to 40 pounds occasionally, 25 pounds frequently, and/or 10 pounds continuously.
The job is performed indoors in a traditional office setting where moderate noise levels may be present.

Proficiency in English required for business communication, both oral and written
